How to use Zatutuka

Everything you need to deliver parcels — explained in simple steps. No technical knowledge required.

What is Zatutuka?

Zatutuka is a delivery management app for your business. It helps you:

  • Register parcels when they arrive
  • Assign deliveries to riders
  • Track every parcel from pickup to confirmation
  • Send SMS updates to customers automatically
  • Scan QR codes instead of typing details
  • Catch duplicate parcels before they go out twice
  • Print daily reports at end of day

Who uses the app?

Admin

Business owner or office manager. Creates parcels, manages riders, sends bulk SMS, views reports.

Rider

Delivery person on the road. Scans QR codes, delivers parcels, updates status, takes photos.

Customer

Person receiving the parcel. Tracks delivery and confirms receipt via SMS link — no account needed.

How a delivery works

Every parcel follows the same simple path:

  1. Parcel arrives with a QR label on the box
  2. Rider scans the QR code in the app
  3. App checks — is this a duplicate?
  4. Parcel logged — status starts as Pending
  5. Customer gets SMS — "Your parcel is coming"
  6. Rider marks On The Way
  7. Rider delivers and takes a photo
  8. Status becomes Delivered
  9. Customer confirms via SMS link → Received
  10. End of day — admin prints the daily report

Logging in

  1. Open the Zatutuka website in your browser (Chrome or Safari works best on phones).
  2. Enter your email and password.
  3. Tap Sign In.
Tip: Riders should use their phone for scanning. Admins can use a phone, tablet, or computer. Tap the logout icon at the bottom of the menu to sign out.

Admin guide

Create a new delivery (manual)

  1. Go to New Delivery.
  2. Fill in customer name, phone, address, and parcel description.
  3. Optionally assign a rider and set a scheduled date.
  4. Tap Create Delivery.

The system creates a tracking code, Parcel ID, and sends the customer an SMS.

Print QR labels

  1. Open any delivery from All Deliveries.
  2. Find the Parcel QR box on the right.
  3. Print or screenshot the QR code and stick it on the parcel.

Assign a rider

Open the delivery → Rider Assignment → choose rider → tap Assign. The rider gets a notification.

Send SMS to one customer

On the delivery page, under Customer SMS, tap the button you need:

Bulk SMS

  1. Go to Bulk SMS.
  2. Pick a template or write your message.
  3. Tick statuses (Pending, On The Way, Delivered).
  4. Tap Send Bulk SMS and confirm.

Manage riders

Go to Riders to add staff, view performance, or deactivate accounts. Check Billing if you hit your rider limit.

QR Scanner (Admin)

Go to QR Scanner, allow camera access, and point at the parcel QR. Details load automatically.

Rider guide

Your dashboard

See assigned parcels, today's scans, and active deliveries. Tap the big Scan QR button to start.

Scanning a parcel Most important

  1. Tap Scan QR.
  2. Allow camera permission.
  3. Point at the QR code and hold steady.
  4. Parcel details appear — tap Open Delivery.
No internet? Scans save on your phone and sync when you're back online.

Delivering step by step

  1. Scan QR or open parcel from My Deliveries.
  2. Call or WhatsApp the customer if needed.
  3. Tap Open Navigation for directions.
  4. When leaving, set status to On The Way.
  5. At delivery, take a photo and upload as Proof of Delivery.

Duplicate parcel warning

If you scan a parcel already in the system, choose:

  • Ignore — accidental double scan
  • Report Issue — something looks wrong (admin notified)
  • Mark Duplicate — confirm it's a duplicate case

Messages

Use Messages to chat with your admin about unclear addresses or problems.

Customer guide

Customers do not need an account or login.

Track your parcel

Open the tracking link sent by SMS, or visit https://zatutuka.shop/track/YOUR-CODE

Confirm receipt

  1. After delivery, open the confirmation link from SMS.
  2. Check your name and parcel details.
  3. Tap I Have Received My Parcel.
Only confirm when you have actually received the parcel.

QR codes explained

A QR code is the square black-and-white pattern on a parcel label. One scan tells the app the customer name, phone, address, and unique Parcel ID.

Why scan instead of type?

  • Faster — about 2 seconds
  • Fewer mistakes on phone numbers
  • Same process every time

QR won't scan?

  • Clean the label
  • Use better lighting
  • Hold phone steady
  • Ask admin to enter manually

Duplicate parcels

Each QR has a unique Parcel ID. If the same parcel is scanned twice, the app warns you and shows when it was first scanned and by whom.

Admin: check Duplicate Alerts on your dashboard.

Rider: see duplicate options above.

Daily reports & printing

  1. Go to Daily Reports.
  2. Pick a date and optional rider.
  3. Tap Generate to see scanned, delivered, pending, and duplicate counts.
  4. Tap Print / PDF → use browser Print → Save as PDF.

Reports include a parcel list and sign-off section for rider and supervisor.

Messages & notifications

Notifications (bell icon)

New assignments, duplicate warnings, and delivery updates. Refreshes automatically.

In-app messages

Internal chat between admin and riders — separate from customer SMS.

Questions & tips

Page looks wrong on my phone?

Use Chrome or Safari. Try turning your phone sideways for wide tables.

I forgot my password

Contact your admin to reset it.

Dark mode?

Tap the sun/moon icon in the top bar.

For Admins

SMS not sending?

Check Billing for SMS limits.

Rider can't see a parcel?

Assign the rider, or have them scan the QR (scanning auto-assigns).

For Riders

Camera won't open?

Allow camera in browser settings. iPhone: Settings → Safari → Camera → Allow.

Scanned but parcel missing?

Check internet. Offline scans sync when connected. Refresh My Deliveries.
